Employment Type: Full time, fixed term contract – November 2026 until September 2027


About Food + Drink Victoria

Food + Drink Victoria (F+DV) is the non-profit organisation behind the internationally acclaimed Melbourne Food & Wine Festival. Position purpose

F+DV works with commercial, government, brand and industry partners across its year-round calendar of events, activations and campaigns.

The primary purpose of the role is to support the Partnerships Director and Partnerships Manager to manage and execute partnership plans leading up to and during the Melbourne Food & Wine Festival March and other year round activity.

The position provides administrative and account management assistance across a portfolio of 30+ partnerships, working collaboratively with marketing, events, programming and business operations teams to ensure contracted deliverables are met and activation plans are executed to the highest degree.

Key responsibilities 

  • Provide day-to-day administrative support to Partnerships Director and Partnerships 
  • Manager including (but not limited to) managing meeting agendas and minutes, invoicing, invitations, guest lists and ticketing using CRM (Salesforce) and various business systems. 
  • Manage tracking, scheduling and execution of contracted marketing benefits and deliverables for partners, in collaboration with marketing team, including but not limited to digital and social content, website advertising, e-news, signage and collateral, and associated approvals processes. 
  • Manage collation of partner supplied assets and content. 
  • Assist in the execution of partner activation plans, including pre-promotional activities, atevent activations, corporate hospitality and private functions, in collaboration with events and programming teams. 
  • Manage selected onsite partner requirements at selected events. 
  • Attend WIPs for selected major partners, manage meeting minutes and track actions. 
  • Assist with providing timely and accurate delivery and reporting of all contractual partnership benefits for designated partners. 
  • Assist with post-event acquittal reporting for all partners, including preparation of debrief and reports, collation of marketing deliverables, results and any other evidentiary material required to acquit partnerships. 
  • Provide ad hoc assistance to the marketing team in the implementation of F+DV marketing and communication strategies.

Key Selection Criteria

Skills and experience

  • Experience in sales, marketing or events and sponsorship account coordination or management preferred. 
  • Strong administrative support skills including Microsoft applications (Excel, Word, Outlook, Power point) and demonstrated experience using CRM systems (Salesforce). 
  • Ability to build rapport quickly, influence and autonomously liaise with a broad range of people. 
  • Ability to work independently in a fast-paced environment, adjusting priorities as required while not compromising attention to detail. 
  • Demonstrated capacity to work as an effective team member – proactive, anticipate needs, flexible and reliable. 
  • High energy levels with the appetite to work under pressure in a busy environment. 
  • Highly organised, high attention to detail, demonstrated ability to meet deadlines. 
  • Ability to think analytically and creatively to generate ideas. 
  • Experienced in timely service delivery of contractual deliverables to all partners in line with client and department expectations and best practice standards.
